For a collaborative-robot trade fair demonstration in Germany, define the application, operator and visitor access before choosing what to ship. “Collaborative” is not permission for unrestricted interaction. We can provide authorised local reception, product introductions and requirement handover; powered demonstrations, integration and safety decisions need a confirmed technical owner.
If the manufacturer cannot attend throughout the event, the missing item is often a practical handover package: what local representatives can explain, which activities have been agreed, and which requests must be escalated. A persuasive presentation should not depend on improvising a new application on the stand.
Choose the type of presentation
A different gripper or workpiece changes the application even if the arm is unchanged. Decide whether the visitor needs to inspect the construction, watch an agreed pick-and-place sequence or discuss a future task. A request to try the buyer’s own part may require a separate technical review rather than an extension of the ordinary sales presentation.
| Presentation | What to establish | Output |
|---|---|---|
| Static display | Machine state, accessible areas, documents and signs | Model interest and questions |
| Controlled motion | Actual tooling, part, program, protection and personnel | Identified demonstration and conditional observations |
| Application discussion | Component, cycle, site and integration requirements | Manufacturer evaluation task |
| Buyer-site trial | Use, location, technical ownership and applicable rules | Separate confirmed arrangements |
Display provisions do not authorise arbitrary operation
The official German KomNet response on exhibiting machinery explains conditional display of machinery not yet conforming, including clear status information, restrictions on making it available before conformity, and protection during demonstrations. Check the event date, actual circumstances and organiser requirements. “Exhibit” is not a blanket exemption.
Universal Robots’ application risk-assessment documentation separately explains that integrated-application safety depends on tooling, obstacles and other machinery. We use that manufacturer source to illustrate why the entire application matters. It is not a technical conclusion about every brand or an indication of affiliation.
From presentation objective to an agreed demonstration
Static / controlled motion / application discussion
Arm, tooling, part, program and site
Documents, signs, protection and personnel
No unreviewed activities added on the stand
Hand over a defined application revision
An arm manual is not the whole event package. Local representatives must identify the installed arm, controller, tool, workpiece and agreed demonstration program. Give them the authorised technical contact and an escalation route. Treat changes to the part or program as changes requiring review, rather than a different marketing script.
| Package element | Owner | Local handover |
|---|---|---|
| Application identity | Manufacturer and integrator | Model, serial, tooling, part and program revision |
| Operating and demonstration scope | Technical owner and relevant site parties | Agreed activities and exclusions |
| Personnel and exceptions | Technical owner | Operator, stop/escalation conditions and contact |
| Product claims | Manufacturer technical/commercial team | Approved material and questions needing a later answer |
| Buyer requirements | Exhibitor and authorised representative | Permitted collection, recipient and use of information |
Walk through a realistic request before the event: a buyer brings an unplanned metal component and asks for a live pick. Reception can record the requirement and refer it to the technical owner. It should not change the tool or program merely to keep the conversation going. Product discussion can continue without an additional powered demonstration.
Separate commercial and technical authority
Consider an explicitly hypothetical representative authorised to explain a standard model but not approve discounts. If a visitor asks for a show price, the representative records configuration, quantity and delivery country and routes the request for approval. Quotation handover does not imply authority to sign a manufacturer’s contract.
| Request | Agreed local action | Decision owner |
|---|---|---|
| Model introduction | Use approved configuration material | Manufacturer |
| Different tooling, part or program | Record and escalate; do not improvise | Technical owner |
| Discount, lead time or warranty | Transmit a written request | Authorised contracting party |
| Installation or ongoing technical service | Identify site and scope without promising delivery | Manufacturer and competent provider |
Turn conversations into evaluation tasks
A business-card count is not a qualified-project list. For robot enquiries, record the workpiece, handling requirement, environment, interfaces, target cycle and evaluation timing where the buyer can provide them. Leave unknowns blank. Do not invent the technical requirement on the buyer’s behalf.
Assign the next actions: who requests drawings, who arranges confidentiality where needed, who proposes a configuration and who schedules another visit. Respect restrictions on photography and disclosure. We can provide agreed local communication and follow-up, but an event-reception assignment does not guarantee orders.
Arrange local representation
Send the event and dates, exhibit configuration, presentation plan, languages, technical contact and commercial authority. We can agree local reception and handover work. Any later German-showroom session needs its own product and site confirmation.
