Selling industrial motors in Germany: align the importer and product information

JWhelpPublished / checked:

If a German buyer has seen your motor’s IE3 or IE4 information but still asks about the importer, nameplate and public product data, treat those as separate checks. Efficiency performance does not settle model documentation or market responsibilities. Define the seller, importer and information owner before deciding what a German sales company should do.

Start with one model in a live quotation. Put its quote, nameplate, technical information and public page together. Can the buyer tell that they refer to the same motor and configuration? Assign someone to resolve discrepancies before promising shipment.

An official test: performance and information are separate

On 24 November 2025, the European Commission reported that all 17 motors in a testing campaign passed efficiency tests, but only two met product-information requirements. The 15 others lacked relevant operating-point power-loss information. The sample was risk-based, not representative of the market. [Original results]

For your quotation, the practical lesson is to keep the evidence streams separate. A technical result is not confirmation that the commercial, import and public-information handover is complete. Nor does this inspection establish a quality conclusion about any particular origin or supplier.

Map the model and business roles

A manufacturer, overseas seller and German importer may be different businesses. A company that signs a sales contract should not automatically be entered as importer on every document simply because it has a German address.

Motor modelFull designation, rated data, revision and sales configurationManufacturer-confirmed model mapping

Contracting sellerWho accepts the order, invoices and receives paymentConsistent quotation/order/invoice route
Importer and other applicable rolesThe real import arrangement and responsibility contactsTransaction-specific role list
Public-data ownerURL, revision and authority to update or withdraw dataA model-specific accessible information location

This is a transaction and records exercise, not a technical conformity decision. Your manufacturer and appropriate specialists must establish scope, efficiency requirements and test methods. Neither industrial use nor the presence of a variable-speed drive is a sufficient reason to skip that assessment.

Build a buyer-verifiable information pack

The European Commission’s motor-information FAQ addresses websites that advertise efficient motors without model-specific information. For products in scope, a general “call us” message does not replace information required to be publicly accessible. Its explanation also distinguishes importer arrangements with and without an authorised representative. [Commission FAQ]

  1. Start with the quoted model. Match the designation and options across the quote, nameplate, records and public page; have the manufacturer explain suffix or configuration differences.
  2. Preserve conditions behind the numbers. Identify the operating points and measurement conditions rather than applying one result to an entire range.
  3. Provide a usable public location. The buyer should be able to find the relevant model, not just a general marketing description.
  4. Assign updates. Decide who changes the website and informs the importer and buyer after a technical revision, including orders already quoted.

Control document handovers

Consider manufacturer A, seller B and importer C as an illustrative arrangement, not a customer case. Forwarding A’s files to B does not complete the handover if C cannot identify the model and revision.

These are our suggested controls, not a regulatory release. They help prevent a finished product arriving while the parties are still trying to obtain a model-specific record.

Decide what a German company would do

A German sales company may make sense when a customer requires local contracting, you plan repeated import-and-resale transactions or you need local stock and business contacts. Define its actual role in the contract, import, inventory and invoice chain first. Incorporation does not grant technical product approval.

We can help with German formation, VAT registration and subsequent filings, together with agreed local business support. Motor testing, technical conclusions and any specific statutory conformity role need their own assessment and mandate; company formation is not certification.

What to send us

Send the quoted model, buyer’s request, proposed seller, intended importer and product-data URL. We can discuss which part of the transaction needs a local business before you commit to forming one.

Still to confirm: product scope, information and role requirements, import/invoice route, fees and application conditions. Discuss your motor sales arrangement →
